Introduction

This document should be read within the context of Bath Junior Gateway Club's wider policies and procedures when the dub is considering a holiday that will require staff or volunteer support. In particular, reference should be made to the members Risk AssessmenL

This procedure is intended to ensure that all supported holidays are appropriately organised and are of benefit to group members. The needs, wishes and preferences of members must, where possible always be the first consideration in the decision to go on holiday, type of holiday and activities associated with that holiday.

Choosing a holiday

When choosing and booking a holiday for the group, you must take in to consideration the following points:

  1. type of holiday

  2. destination

  3. length of holiday

  4. benefits to the individuals

  5. travel arrangements

  6. sleeping arrangements

  7. medical requirements, e.g. vaccinations

  8. administrative requirements, e.g. insurance and passports • who should accompany them

  9. cost

  10. who pays for the cost of the holiday

Staff may find it useful to build up a dossier, of group experiences that they have enjoyed to assist in the choice of holidays.

The decision should be a group one involving staff, volunteers and members.

Cost

Full consideration of the costs of a holiday should be made before booking the holiday. Regard should be given to expenses due prior to the holiday - e.g.

  1. replacement of personal items, clothing, and any longer term financial obligations, as well as to the actual holiday costs.

  2. The specific funding for the support of each individual member who may wish to go on holiday should be considered.
